WhatsApp tuition fee reminders that go out on time, every month

Every tuition teacher knows the feeling: it is the 5th of the month, half the fees are pending, and you don't want to sound rude asking parents again and again. With WhatsClaw you write one polite reminder, set the date once, and your phone sends it from your own WhatsApp number every month.

Why WhatsApp works for fee reminders

Parents already chat with you on WhatsApp about homework, test dates and holidays. A short, friendly reminder in the same chat feels personal, not like a bank SMS. And because it comes from your number, parents can reply right there: "Sir, will pay on Saturday" or "Already sent on UPI, please check".

The problem is doing it by hand. Thirty students means thirty chats, thirty copy-pastes, and you will always forget someone. Scheduling fixes that.

How to set up monthly fee reminders in WhatsClaw

Step 1: Install and set up (one time)

  1. Install Auto Reply & Scheduler: WClaw from Google Play and open it.
  2. Sign in, then allow the Accessibility permission when the app asks. This is how WhatsClaw types and sends the message in your own WhatsApp at the time you set.
  3. Keep your phone charged, online and with WhatsApp logged in around the send time.

Step 2: Add your parents' numbers

Pick the parents from your phone contacts, or import a CSV with name and number if you keep a register in Excel or Google Sheets. Group them by batch (for example "Class 10 Morning", "JEE Weekend") so each batch can get its own message.

Step 3: Write the reminder once

Use the {name} placeholder so every parent sees their own name. A simple template:

Namaste {name} ji 🙏 Gentle reminder: the tuition fee for this month is due by the 10th. You can pay by UPI to 98XXXXXXXX or in cash at the class. If already paid, please ignore this message. Thank you! – Sharma Sir, Maths Classes

Step 4: Set date, time and repeat

Choose the 1st or 5th of the month, a sensible time like 10:00 am, and set it to repeat monthly. A second, softer reminder on the 10th only for pending parents works well too.

Step 5: Add an auto-reply (optional)

Create a keyword auto-reply so when a parent types "fees" or "UPI", WhatsClaw replies with your UPI ID and fee chart automatically, even when you are teaching.

Tips so it stays polite

  • Send in the morning, not late at night.
  • Always add "if already paid, please ignore". It saves embarrassment both sides.
  • Remove parents who have paid before the second reminder goes out.
  • Thoda personal touch helps: mention the batch or the child's name.
Send sensibly. WhatsClaw sends from your own WhatsApp on your own phone, so WhatsApp's normal rules apply. Message only people who know you and expect to hear from you, keep batches small, and stop if someone asks you to. This reduces the risk of your number being restricted, but no app can promise that every message is delivered or that a number will never be limited.

FAQs

Can I send fee reminders to all parents at once?

Yes. You can pick a group of parents and schedule one reminder for all of them. WhatsClaw sends them one by one with small gaps, from your own WhatsApp. Keep batches small and send only to parents who know you.

Will the reminder go every month automatically?

Yes, if you set the schedule to repeat monthly. Your phone needs to be on, online and logged in to WhatsApp around the send time.

Do parents see it as a broadcast?

No. Each parent gets a normal one-to-one message in their chat with you, with their own name if you use the {name} placeholder.

Is it free?

The free plan includes 3 scheduled messages and 3 auto-replies. Growth is ₹199/month or ₹999/year, and code POWER50 gives 50% off Growth until 12 November 2026.

Can my number get banned?

Any WhatsApp number can be restricted if people report it. Messaging only parents who know you, at sensible times and in small batches, reduces that risk. No app can guarantee it.
